Calenday vs Calendly

Calendly is the category leader and has the ecosystem to prove it. Calenday is a one-time $99 licence with unlimited users and separate brands. The choice comes down to whether you are buying an ecosystem or buying a flat cost — both are legitimate purchases.

Decision

Which one should you pick?

If your team is one person and your workflow already runs through Calendly’s integrations, staying is rational. If your team is five people, or you manage brands for clients, the arithmetic and the structure both point the other way.

What each one costs over 36 months

Calendly is priced here on Standard at $10 per seat per month — its cheapest paid plan, and the one most favourable to it. Note that round-robin and branding control require Teams at $16, which would raise every figure by sixty percent.

Their advantage

What Calendly does better

Calendly has been building this for over a decade and it shows in the places that are expensive to catch up on. If any of the following is central to how you work, it is the stronger product for you.

  • A far larger integration ecosystem

Salesforce, HubSpot, Marketo, Zapier and hundreds more, with lead routing built around them. Calenday connects to Google, Microsoft, Zoom, Stripe and PayPal, and that is the list.

  • Native mobile applications

iOS and Android apps plus browser extensions. Calenday is a web application that works on a phone browser and nothing more.

  • Enterprise governance

SAML SSO, SCIM provisioning, domain control and audit trails on the Enterprise plan. Calenday has none of these.

  • Recognition

Sending a Calendly link is understood by everyone. That is worth something real in a sales context, and it takes years to earn.

Our advantage

What Calenday does better

Four differences, and three of them are structural rather than a matter of feature count. They matter most to teams that grow, to agencies, and to organisations that need to say where their data is.

  • The invoice does not grow with the team

One payment of $99, unlimited users. On Calendly Teams, five people cost $2,880 over three years and twenty people cost $11,520.

  • Several brands in one account

Separate booking pages, colours, members and data per brand, isolated at the database level. Calendly has one identity per account, so an agency needs one account per client.

  • A free plan you can actually work in

Unlimited event types, unlimited bookings and unlimited calendars, against one event type and one calendar on Calendly’s free plan.

  • Self-hosting at the same price

Deploy Calenday on your own server with Docker and choose your own region. Calendly is a hosted service only.

Switching

Migrating from Calendly

Plan about an hour for a solo setup and half a day for a team. There is no import tool — no scheduling vendor offers one — so the work is recreating event types, then redirecting the links you have already published.

What carries over automatically

  • Your calendar, as soon as Google or Microsoft is connected — existing events block slots immediately.
  • Meetings already in your calendar. They are calendar events, not Calendly objects, and are unaffected.
  • Your contacts, imported from a CSV export of your old tool.

What you have to redo

  • Event types, durations, buffers and custom questions must be recreated by hand.
  • Published Calendly links keep working until you cancel; update your signature, website and templates before you do.
  • Salesforce and HubSpot routing rules have no equivalent in Calenday.
  • Workflows must be rewritten, because the trigger models are not the same.
Questions

Calenday vs Calendly, in short

Is Calenday a Calendly clone?
It covers the same job — publish a booking page, sync a calendar, confirm a meeting — with a different commercial and structural model: one payment instead of a per-seat subscription, and several isolated brands instead of one identity per account.
How much does Calendly cost for five people?
On Standard, $10 per seat per month, which is $1,800 over three years. On Teams, $16 per seat per month, which is $2,880. Teams is required for round-robin, custom branding and analytics. Calenday costs $99 once for the same five people.
What is wrong with Calendly’s free plan?
It allows one event type and one connected calendar. That is enough to evaluate the product and not enough to work with — most professionals need at least a short call and a long one. Calenday’s free plan has no cap on either.
Can I keep my Calendly links during the switch?
Yes. Calendly links keep working until you cancel your subscription, so you can run both in parallel while you update your email signature, website and proposal templates. Cancel only once nothing points at the old links.
Does Calenday do round-robin like Calendly Teams?
Yes, and on the free plan. Calendly reserves round-robin distribution for its Teams tier at $16 per seat per month. In Calenday, sharing incoming bookings across a team is core scheduling and is not gated behind a payment.
Which is better for GDPR?
Calendly is a hosted US service and publishes its own compliance documentation. Calenday can be self-hosted, which lets you decide the region yourself rather than accept a vendor’s. Neither of us holds SOC 2 or ISO 27001 certification on the Calenday side, and we will not imply otherwise.

Start on the free plan. Decide later.

Unlimited bookings, no card, no countdown. If Calenday earns the $99, you will know within a week.
