Interview scheduling software that candidates book themselves

Calenday is interview scheduling software for recruiters and hiring managers. Candidates pick a phone screen or video interview slot from your link, your Google Calendar or Outlook is checked live, and Teams, Zoom or Meet links are created automatically. Single-use links keep finalist interviews private. Scheduling is free; video and reminders cost $99 once.

The problem

What slows down interview scheduling?

Interview scheduling stalls when recruiters trade emails with every candidate, forget to add video links, or see candidates miss interviews booked weeks earlier. Recruiters need candidates to book open slots themselves, links that work once, video created automatically and reminders. Calenday handles those steps for one-on-one interviews.

  • An email thread per candidate

Coordinating 20 phone screens by email can take a full day. A booking link lets candidates choose in minutes.

  • Links that get forwarded

A public interview link can travel beyond the shortlist. Single-use links work for one booking only.

  • Missing video links

Copying meeting links by hand leads to mistakes. Calenday adds the link to the confirmation email.

  • Candidate no-shows

Candidates juggle several hiring processes. A reminder 24 hours before keeps your interview on their radar.

Setup

How should a recruiter set up Calenday?

A typical recruiting setup uses three event types: a 20-minute phone screen on a public link, a 45-minute video interview on Microsoft Teams sent as single-use links, and a 30-minute offer call. Connect your work calendar, add a 24-hour minimum notice, and send an email reminder the day before.

  • 01

    Connect your work calendar

Sign in with Microsoft 365 or Google so existing meetings block interview slots.

  • 02

    Create “Phone screen” (20 min)

Share the link in job posts or outreach emails, and ask candidates to add their phone number in the notes. Add a 10-minute buffer after each call.

  • 03

Create “Video interview” (45 min, Teams)

Turn on Microsoft Teams with the $99 license and send each finalist a single-use link that works once.

  • 04

Create “Offer call” (30 min) and reminders

Turn on the 24-hour reminder email to candidates, plus a reminder to yourself one hour before each interview.

Features

Which Calenday features help recruiters?

Recruiters benefit most from single-use links, live calendar sync, automatic Teams, Zoom or Google Meet links and email reminders to candidates. Single-use links and calendar sync are free. Video links and reminder workflows come with the Lifetime license, a one-time $99 payment that covers every recruiter on the team.

  • Single-use links — free

Each link accepts one booking and then stops working, so a finalist slot cannot be booked twice.

  • Calendar sync — free

Google Calendar and Microsoft 365 are read live; confirmed interviews land in your calendar with the candidate as a participant.

  • Teams, Zoom or Meet — Lifetime

The meeting is created on confirmation, and the link goes into the confirmation email and the .ics file.

  • Reminders — Lifetime

Email candidates 24 hours before, or remind yourself an hour before each interview.

Cost

How much does interview scheduling software cost?

Calenday’s interview scheduling is free for booking links, calendar sync and single-use links, and costs $99 once for video links and email reminders. The Lifetime license covers unlimited users, so a whole recruiting team shares one payment. There is no subscription, no per-recruiter fee and no per-candidate charge.

The free plan has no time limit and includes unlimited event types and bookings, Google and Microsoft calendar sync, meeting polls and single-use links.

The $99 Lifetime license adds Teams, Zoom and Google Meet links, email workflows, payments and analytics for every recruiter you invite. See our comparison pages for other tools’ prices.

Limits

What doesn’t Calenday do for recruiters?

Calenday schedules one-on-one interviews; it is not an applicant tracking system. It does not store résumés or candidate pipelines, does not connect to ATS tools, cannot book panel interviews with several interviewers, and cannot rotate candidates across recruiters. Candidates also cannot reschedule interviews themselves.

  • No ATS or candidate records

Calenday keeps booking details only. There is no résumé storage, pipeline, API, webhook or Zapier connection.

  • No panel interviews or round-robin

Each interview has one host. Booking several interviewers at once or rotating candidates across recruiters is not supported.

  • Candidates can’t reschedule

Only you can move or cancel an interview, from your dashboard; candidates have to ask you.

FAQ

Interview scheduling questions

Do candidates need an account to book an interview?
No. Candidates open your link, see open slots in their own time zone and enter their name, email, a reason and optional notes. They get a confirmation email with an .ics file to add the interview to any calendar. Bookings are rate-limited to keep spam out.
How do single-use interview links work?
A single-use link in Calenday accepts exactly one booking and then stops working. Send one to each finalist so the link cannot be forwarded and reused. Single-use links are part of the free plan, and you can create as many as your hiring process needs.
Can Calenday schedule panel interviews?
No. Calenday books one host per interview and does not support collective meetings or round-robin today. For a panel, find a common time with a meeting poll, where you propose up to 30 slots for participants to vote on, then book the interview yourself.
Does the video link appear in the confirmation email?
Yes. With the Lifetime license, Calenday creates a Teams, Zoom or Google Meet meeting when the interview is confirmed and adds the link to the confirmation email, the .ics file and your calendar event. The link is not yet shown on the confirmation page or in reschedule emails.
