Scheduling software for small business, by profession
Calenday is scheduling software for small businesses that sell their time: coaches, personal trainers, consultants, agencies, recruiters, real estate agents, tutors and attorneys. Clients book from a link, Google Calendar or Outlook stays in sync, and the free plan has no booking limit. A one-time $99 license adds video links, payments and email reminders.
Which professions is Calenday built for?

Each of the eight guides below gives a ready-to-copy setup with named event types, durations, buffers, payment and reminders, plus an honest list of what Calenday does not do for that profession.

What do small businesses need from scheduling software?
Every profession on this page needs the same four things: a booking link clients can use without an account, availability read live from the calendar they already use, fewer no-shows, and a price that does not grow with the team. Calenday covers all four, and the scheduling core is free.
A link for each type of meeting
Each event type gets its own address, such as app.calend.day/en/your-business/intro-call. Open slots follow your weekly hours, buffers, minimum notice and your country’s public holidays.
Your calendar, read live
Calenday checks connected Google Calendar and Microsoft 365 calendars every time a client opens your booking page, so a time taken elsewhere never shows as open.
Email reminders that cut no-shows
With the $99 license, workflows send reminders up to 28 days before a meeting, thank-you notes after it and notices on cancellation, in English, French, German or Spanish.
One price for the whole team
The free plan includes unlimited event types and bookings. The Lifetime license costs $99 once and covers every user you invite, with no monthly fee.
Who should not use Calenday?
Calenday is the wrong tool when appointments need health records, point-of-sale checkout, automatic distribution across a team or text-message reminders. Calenday handles booking, email reminders, payment and video links; it stores no patient or client files and holds no certification such as HIPAA or SOC 2.
Medical and therapy practices
Calenday is not HIPAA compliant and keeps no patient records. Practices that handle health data need a tool built and certified for it.
Salons and spas
Hair and beauty businesses usually need point-of-sale checkout, inventory and staff commissions. Calenday only books the appointment and can collect a payment for it.
Teams that need round-robin
Calenday cannot spread bookings across team members automatically or book one meeting with several hosts. Sales teams that rely on round-robin should look elsewhere for now.
Businesses that need SMS
Reminders go out by email only. Calenday does not send text messages or WhatsApp messages today.
Questions about scheduling software for small business
- What is a good scheduling software for small business?
- A good scheduling tool for a small business syncs with the calendar you already use, lets clients book without an account and keeps its price flat as you grow. Calenday does this with Google Calendar and Microsoft 365, a free plan with unlimited bookings, and a $99 one-time license for paid features.
- Is Calenday free for small businesses?
- Yes. Calenday’s free plan has no time limit and includes unlimited brands, event types and bookings, Google and Microsoft calendar sync, meeting polls and single-use links. Video links, Stripe and PayPal payments, email reminder workflows and analytics need the Lifetime license, which costs $99 once for unlimited users.
- Do my clients need an account to book?
- No. Clients open your booking link, pick a slot shown in their own time zone and enter their name, email, a reason and optional notes. They receive a confirmation email with an .ics file. Rescheduling and canceling are done by you from the dashboard; clients cannot change a booking themselves.
- Can I use Calenday for several businesses?
- Yes. One Calenday account holds unlimited brands, and each brand is kept separate: its own event types, members, bookings and connected calendars. A consultant with two practices or an agency with ten clients keeps everything apart without paying for a second account.
