Consultant scheduling software for intro calls and paid sessions

Calenday is consultant scheduling software for independent consultants and small firms. Prospects book a free intro call or a paid strategy session from a link, Outlook or Google Calendar is checked live, Microsoft Teams links are created on confirmation, and Stripe collects the fee first. The free plan has no booking limit; paid features cost $99 once.

The problem

What scheduling problems do consultants face?

Consultants juggle prospect calls, paid client sessions and internal meetings in one calendar. They need prospects to book without friction, paid time to be paid before it starts, video links that just work, and separate setups when they run more than one practice. Calenday addresses each of these without a monthly fee.

  • Prospects who never book

Every extra email between interest and a call loses leads. A link in your email signature turns interest into a booked intro call.

  • Unpaid advice

Quick “pick your brain” calls add up. A paid event type makes clients pay before the slot is confirmed.

  • Clients on Microsoft 365

Many corporate clients live in Outlook and Teams. Calenday creates Teams meetings from a work Microsoft account.

  • Two practices, one person

Consultants with a second brand need separate pages and bookings. Calenday holds unlimited separate brands in one account.

Setup

How should a consultant set up Calenday?

A typical consulting setup has three event types: a free 30-minute intro call, a paid 60-minute strategy session and a 90-minute workshop sent through single-use links. Connect Outlook, add Microsoft Teams and Stripe with the $99 license, and send an email reminder the day before each meeting.

  • 01

    Connect Outlook or Google Calendar

Sign in with Microsoft 365 or Google. Your calendar is read live, so internal meetings block client slots.

  • 02

Create “Intro call” (30 min, free)

Add a 15-minute buffer after it and a 24-hour minimum notice, then put the link in your email signature.

  • 03

Create “Strategy session” (60 min, paid)

Turn on Stripe payment in USD and Microsoft Teams. The Teams link appears in the confirmation email and the calendar event.

  • 04

Use single-use links for “Workshop” (90 min)

Send each client a link that works for one booking only, and add a 24-hour reminder plus a thank-you email after the session.

Features

Which Calenday features help consultants?

Consultants get the most from four Calenday features: Outlook and Google Calendar sync, Microsoft Teams or Zoom links created on confirmation, Stripe or PayPal payment before a paid session, and single-use links for invited clients. Calendar sync and single-use links are free; video and payments need the $99 Lifetime license.

  • Outlook and Google sync — free

Calenday reads Microsoft 365 and Google calendars live and adds each booking with the client as a participant.

  • Teams and Zoom — Lifetime

Teams meetings need a work or school Microsoft 365 account. Zoom has its own connection and works even with no calendar linked.

  • Paid sessions — Lifetime

Stripe or PayPal collects the fee before confirmation, straight into your account, with no commission from Calenday.

  • Single-use links — free

Send a client a link that stops working after one booking, useful for workshops you only offer by invitation.

Cost

How much does consultant scheduling software cost?

Calenday’s scheduling core is free, and the Lifetime license costs $99 once. An independent consultant pays nothing for booking pages, calendar sync and single-use links, then $99 one time for Teams, Zoom and Meet links, paid sessions and email reminders. Adding partners or associates does not change the price.

On the free plan, you get unlimited brands, event types and bookings, Google and Microsoft calendar sync, meeting polls and single-use links, with no time limit.

The $99 Lifetime license is paid once and covers unlimited users. It adds video conferencing links, Stripe and PayPal payments, email workflows and analytics. There is no renewal. To compare with other tools’ pricing, see our comparison pages.

Limits

What doesn’t Calenday do for consultants?

Calenday schedules meetings and collects payment for them; it does not manage clients or invoices. It has no CRM, proposals, time tracking or invoicing, no custom intake questions, and no connection to HubSpot, Salesforce or Zapier. Consultants who rely on those should keep their existing tools and use Calenday for booking.

  • No CRM or invoicing

Calenday keeps booking details but no client pipeline, proposals, time tracking or invoices.

  • Basic booking form only

Clients enter their name, email, a reason and notes. Custom intake questions are not available today.

  • No HubSpot, Salesforce or Zapier

Bookings cannot be pushed to a CRM automatically. Calenday has no API or webhooks today.

FAQ

Consultant scheduling questions

Does Calenday work with Microsoft Teams?
Yes, with the Lifetime license and a work or school Microsoft 365 account. When a client books, Calenday creates a Teams meeting and puts the link in the calendar event, the confirmation email and the .ics file. Personal Microsoft accounts cannot create Teams meetings through Calenday.
Can prospects pay before a consulting session?
Yes. With the $99 Lifetime license, connect Stripe or PayPal and switch on payment for the event type. The prospect pays before the booking is confirmed, and the slot is held for 30 minutes during checkout. Funds go straight to your account in USD, EUR, GBP, CHF or CAD.
Can I run two consulting brands from one account?
Yes. One Calenday account can hold unlimited brands, each with its own event types, booking pages, members and connected calendars, and no data crosses between them. Keep in mind that a calendar connected to a brand blocks slots for everyone in that brand.
How do I find a time with several client stakeholders?
Use a meeting poll. You propose up to 30 time slots, stakeholders vote with their name and email, and you see every vote. Calenday does not close the poll or book the meeting automatically, so you then schedule the meeting yourself, for example by sending a single-use link.
