Tutor scheduling software for online and in-person lessons
Calenday is tutor scheduling software that lets students or parents book lessons from a link, in their own time zone. It syncs with Google Calendar or Outlook, creates Google Meet or Zoom links for online lessons, and collects payment through PayPal or Stripe before the lesson is confirmed. Booking is free; payments, video and reminders cost $99 once.
What scheduling problems do tutors run into?
Tutors spend evenings messaging parents about times, chasing payment for lessons already given and resending video links. Tutors need families to book open slots themselves, online lessons with a working link, payment up front and a reminder before each lesson. Calenday handles all four for one-on-one tutoring.
Messages with parents
Agreeing on a lesson time by text can take a dozen messages. A booking link shows only open slots.
Unpaid lessons
Collecting money after the lesson is uncomfortable. Paying at booking settles it in advance.
Students in other time zones
Online tutoring crosses borders. Calenday shows each family your slots in their own time zone.
Forgotten lessons
Students forget, especially during exam season. A reminder email the day before helps.
How should a tutor set up Calenday?
A typical tutoring setup has three event types: a free 15-minute trial call, a paid 60-minute online lesson on Google Meet and a paid 90-minute exam prep session. Connect your calendar, add PayPal or Stripe and Google Meet with the $99 license, and send a reminder email 24 hours before each lesson.
- 01
Connect Google Calendar
Google Meet links require a connected Google Calendar, which also blocks the times you are busy.
- 02
Create “Trial call” (15 min, free)
Use it to meet new students and parents. Add a 10-minute buffer after it.
- 03
Create “Online lesson” (60 min) and “Exam prep” (90 min)
Turn on Google Meet and PayPal payment in USD. The slot is held for 30 minutes while the family pays.
- 04
Add reminders
Use the 24-hour reminder workflow and a thank-you email after the lesson. Templates can be written in English, Spanish, French or German, matched to each family’s language.
Which Calenday features help tutors?
Tutors benefit most from time zone detection, Google Meet or Zoom links created on confirmation, PayPal or Stripe payment before each lesson and email reminders. Time zone detection and calendar sync are free. Video, payments and reminders are unlocked by the Lifetime license, a single $99 payment with no renewal.
Time zones handled — free
Calenday detects each visitor’s time zone, offers a selector to change it, and stores every booking in UTC.
Google Meet or Zoom — Lifetime
The lesson link is created on confirmation and sent in the email and the .ics file.
PayPal or Stripe — Lifetime
Families pay before the lesson is confirmed, in USD, EUR, GBP, CHF or CAD. The money goes to your account.
Booking pages in four languages — free
Booking pages work in English, Spanish, French and German.
How much does tutor scheduling software cost?
Calenday is free for tutors who only need booking links and calendar sync, and costs $99 once to add online payments, Google Meet or Zoom links and email reminders. There is no monthly fee and Calenday takes no commission on lesson payments, so the price stays the same however many lessons you teach.
The free plan has no time limit and includes unlimited event types and bookings, Google and Microsoft calendar sync, meeting polls and single-use links.
The Lifetime license is one $99 payment for unlimited users. It adds video links, Stripe and PayPal payments, email workflows and analytics, so a tutoring business with several tutors pays once. Other tools’ prices are on our comparison pages.
What doesn’t Calenday do for tutors?
Calenday books and charges for individual lessons; it is not a tutoring management platform. It keeps no student progress or homework, sells no lesson packages, does not run group classes, sends no text reminders, and lets only the tutor reschedule or cancel a lesson that a family has booked.
No student records
No progress tracking, homework or lesson notes beyond what families type in the booking form.
No packages or group lessons
Each booking is one paid lesson with one student. Lesson bundles and group classes are not available.
Families can’t reschedule
Only you can move or cancel a lesson, from your dashboard.
Tutor scheduling questions
- Can parents book and pay for lessons online?
- Yes. Parents open your booking link, choose a lesson slot and pay through PayPal or Stripe before the lesson is confirmed. This requires the $99 Lifetime license. The slot is held for 30 minutes during checkout, and the payment goes directly to your account without any commission from Calenday.
- Does Calenday work for students in other countries?
- Yes. Calenday detects each visitor’s time zone and shows your slots converted to it, with a selector if needed. Booking pages are available in English, Spanish, French and German, and payments accept USD, EUR, GBP, CHF and CAD, which suits most international tutoring.
- Are Google Meet links created automatically?
- Yes, with the Lifetime license and a connected Google Calendar. When a lesson is confirmed, Calenday creates a Google Meet link and adds it to the calendar event, the confirmation email and the .ics file. Tutors who prefer Zoom can connect it instead, even without a calendar.
- How do refunds work if a lesson is canceled?
- Refunds are manual. When you cancel a paid lesson, Calenday does not refund it automatically; you click the refund button on the Meetings page and the money goes back through PayPal or Stripe. This lets you apply your own late-cancellation policy.
