Agency scheduling software with a separate brand per client
Calenday is agency scheduling software that keeps every client in its own brand inside one account. Each brand has separate booking pages, event types, members and connected calendars, and no data crosses between them. Brands are unlimited on the free plan, and the $99 one-time license adds video, payments and reminders for every user.
What makes scheduling hard for agencies?
Agencies book meetings for themselves and for several clients at once, and each client expects its own space. The hard parts are keeping client data apart, giving client staff access to their brand only, and avoiding a new subscription for every account you sign. Calenday was built around that separation.
One login per client
Running each client in a separate scheduling account means more passwords, more invoices and more mistakes.
Data that must not leak
A client’s bookings and contacts should never appear in another client’s workspace.
Client staff who need access
Client team members need to work on their own bookings without seeing the agency’s other clients.
Costs that grow with headcount
Per-seat pricing charges agencies more every time they add a client or a team member.
How should an agency set up Calenday?
A typical agency setup has one brand for the agency itself plus one brand per client. The agency brand offers a free 30-minute discovery call; each client brand gets its own event types, such as a 45-minute onboarding call. People are invited brand by brand with owner, admin or member roles.
- 01
Create your agency brand
Add “Discovery call” (30 min) and “Monthly review” (60 min, Google Meet), and connect the agency’s Google Calendar.
- 02
Create one brand per client
For example “Northwind Roofing” with “Onboarding call” (45 min) and “Quarterly review” (60 min). Each event type gets its own booking address.
- 03
Invite people per brand
Invite client staff by email as members or admins of their brand only. They never see your other clients.
- 04
Connect calendars brand by brand
A calendar connected to a brand blocks slots for that whole brand. Add the $99 license to turn on Meet, Teams or Zoom links, payments and email reminders.
Which Calenday features help agencies?
The Calenday features built for agencies are unlimited separate brands, roles assigned per brand, a booking page for every event type and one license that covers every user. Brands, members and calendar sync are free; the $99 Lifetime license adds video links, payments and email reminders across all brands.
Unlimited separate brands — free
Each brand is its own organization with its own event types, bookings, members and calendars. Nothing is shared between brands.
Roles per brand — free
Invite people by email as owner, admin or member, one brand at a time.
Video and payments — Lifetime
Google Meet, Teams or Zoom links and Stripe or PayPal payments for client meetings. Zoom connects one account per brand.
Email workflows — Lifetime
Reminders, thank-you emails and cancellation notices per event type, with templates in English, French, German and Spanish.
How much does agency scheduling software cost?
Calenday costs agencies $0 for unlimited client brands and $99 once for paid features. Unlike per-seat tools, adding a fifth client or a tenth team member changes nothing. The Lifetime license covers video links, Stripe and PayPal payments, email reminders and analytics for every user in the account.
The free plan includes unlimited brands, event types and bookings, Google and Microsoft calendar sync, meeting polls and single-use links, with no time limit.
The Lifetime license is one $99 payment for unlimited users across all brands. There is no renewal and no fee per client. For other tools’ prices, see our comparison pages.
What doesn’t Calenday do for agencies?
Calenday separates client brands but does not yet make them look like the client. Booking pages carry no client logo or colors and keep a “Powered by Calenday” mention, pages cannot be embedded on client websites, and bookings cannot be spread across team members by round-robin. Plan around these gaps before onboarding clients.
No white-label pages
Booking pages show neither the client’s logo nor its colors, and the “Powered by Calenday” mention cannot be removed.
No embed or brand page
Booking pages are standalone links. Embedding them on a client website and a public page listing a brand’s events are not available.
No round-robin or group meetings
Each event type books one host. Automatic distribution across a team and meetings with several hosts are not supported.
Agency scheduling questions
- How separate are client brands in Calenday?
- Completely. Each brand in Calenday is its own organization with separate event types, booking pages, bookings, members and connected calendars. A person invited to one brand sees only that brand. The agency owner switches between brands from the same account, without a second login or a second subscription.
- Can my clients’ staff log in to Calenday?
- Yes. Invite client staff by email to their own brand as a member or admin. They work inside that brand only and never see your other clients or the agency’s own bookings. Because the license covers unlimited users, adding client staff costs nothing extra.
- How do calendars work when several people share a brand?
- A calendar connected to a brand blocks slots for the entire brand, not just for the person who connected it. If each account manager needs availability based on their own calendar, create one brand per person. This is how Calenday handles calendars today, so plan your brands with it in mind.
- Can I white-label Calenday for clients?
- Not today. Calenday booking pages show no client logo or brand colors, keep a “Powered by Calenday” mention and cannot be embedded on a website. What Calenday does offer is strict separation: each client brand has its own pages, members, bookings and calendars inside one account.
