A Zoom scheduler that creates every meeting for you

Calenday is a Zoom scheduler that creates a Zoom meeting on your account each time a booking is confirmed. The link goes into the confirmation email, the .ics file and your calendar event if you have one. Zoom works even with no calendar connected, and it comes with the $99 one-time Calenday Lifetime license.

What it does

How does Calenday schedule Zoom meetings?

Calenday schedules Zoom meetings by creating a new meeting on your connected Zoom account the moment a guest confirms a booking. The Zoom link is sent in the confirmation email, included in the .ics file and added to the calendar event when a calendar is connected.

  • Meeting created at confirmation

Each booking gets its own Zoom meeting on your account, generated automatically.

  • No calendar needed

Unlike Meet and Teams, Zoom meetings are created even if no calendar is connected to Calenday.

  • Link sent to the guest

The confirmation email includes a Join button, and the .ics file carries the link.

  • Calendar event, if any

With Google Calendar or Outlook connected, the Zoom link is added to the calendar event too.

Setup

How do you connect Zoom to Calenday?

Connecting Zoom to Calenday takes three steps: click Connect Zoom, approve access on Zoom’s sign-in page, then choose Zoom as the video provider on your event types. Zoom uses its own OAuth connection, separate from your calendar, and you never paste a Zoom API key.

  • 01

    Click Connect Zoom

In Availability → Calendar settings, click Connect Zoom. Zoom’s sign-in page opens.

  • 02

    Approve access on Zoom

Sign in to the Zoom account your organization will use and approve access. Calenday shows Zoom as Connected.

  • 03

Choose Zoom on an event type

In Scheduling, open an event type, set Location to Video call and select Zoom as the video provider.

Details

How does the Zoom account connection work?

Each Calenday organization connects one Zoom account through a dedicated OAuth flow, and every meeting is created on that account. If you run several brands in Calenday, each brand is a separate organization and can connect its own Zoom account. Zoom tokens are encrypted on the server.

  • One Zoom account per organization

All Zoom meetings for an organization are created on the single Zoom account it connected.

  • Separate brands, separate accounts

Each brand is its own organization in Calenday and can connect a different Zoom account.

  • Reminders with the link

Lifetime workflows can add the video link variable to reminder emails before the meeting.

  • Encrypted tokens

Zoom tokens are encrypted with AES-256-GCM on the server and never reach the browser.

Limits

What does the Zoom integration not do yet?

The Calenday Zoom integration connects only one Zoom account per organization, so team members cannot each use their own Zoom account in the same organization. The Zoom link is not shown yet on the page displayed right after booking or in the rescheduling email.

  • One Zoom account per organization

Meetings for every member of an organization are created on the same Zoom account.

  • Not on the confirmation page

The page shown right after booking does not display the Zoom link yet; the email and .ics file do.

  • Not in the rescheduling email

When the host reschedules, the rescheduling email does not carry the Zoom link yet.

FAQ

Zoom scheduling questions

How do I schedule a Zoom meeting with a booking link?
Connect Zoom in Calenday, set an event type’s location to Video call with Zoom, and share its booking link. When someone books, Calenday creates the Zoom meeting on your account and emails the link with a Join button. This requires the Lifetime license, a single $99 payment.
Do I need a calendar connected to use Zoom?
No. Calenday creates Zoom meetings even when no calendar is connected, which sets Zoom apart from Google Meet and Microsoft Teams. The link still reaches the guest through the confirmation email and the .ics file. If you connect Google Calendar or Outlook, the link is added to that event too.
Can each team member use their own Zoom account?
Not within one organization. Calenday connects one Zoom account per organization, and all its meetings are created there. If people need separate Zoom accounts, each can work in their own organization; Calenday allows unlimited organizations, kept fully separate, in a single account.
Is the Zoom integration free?
No. Zoom is part of the Calenday Lifetime license, which costs $99 once for unlimited users and also unlocks Google Meet, Microsoft Teams, Stripe, PayPal, email workflows and analytics. Booking pages and calendar connections remain free, with no time limit.

Start on the free plan. Decide later.

Unlimited bookings, no card, no countdown. If Calenday earns the $99, you will know within a week.
